Office Policies

Appointments

When calling for a mental health appointment, staff will work with you to schedule your appointment at the best time available to accommodate your mental health needs as well as offering either an in person office visit or a HIPPA compliant Telepsychiatry/Telehealth visit. We usually offer same-day appointments for Urgent Mental Health concerns. If no Urgent appointments are available at the time we will direct you using resources on how to get help as soon as possible. We do not address medical concerns, mental health ONLY, please call PCP, urgent care, walk in medical clinics, or emergency clinics. To schedule an appointment, simply call the office at 931-774-4001.

Telehealth for Mental Health Visits

Telehealth works much like in person office visits. It allows for patients to see providers via HIPPA complaint video and audio platforms for visits from the safety of their own home or other acceptable location where Wifi or cellular service is available. When participating in a Telehealth visit you must be in a quiet location with good lighting and can be used with any smart phone, computer or tablet. Patients must only allow visitors in the room with them during their Telehealth visit who they give their personal consent to be able to sit in on their visit. Please be aware that any person you consent to sit in with you at your visit may be privy to the topics discussed in reference to your mental health treatment during that visit. Providers will not allow visitors to be involved in the Telehealth visits without patient consent.

After Hours Service

If you have an urgent mental health situation after normal office hours, please call the office. You will be connected to the on call service who will reach out to the appropriate provider. Please reserve Urgent calls for actual urgencies that cannot wait until the next business day. If you have a life-threatening mental health emergency, call 911 or go to the nearest emergency room immediately. We do not provide prescription refills after hours or on holidays or weekends. We do not address medical concerns, mental health ONLY, please call PCP, urgent care, walk in medical clinics, or emergency clinics.

Telephone Calls

Telephone calls are a vital part of giving you the best mental health care. Our staff will help you with your concerns and questions. Please realize that we are not able to diagnosis or treat your mental health problems over the phone we may offer you a HIPPA complaint video/ telephonic appointment to address your concerns. If the mental health staff is unable to take your call during business hours, we will make every effort to return your call after hours or on the next business day except in urgent needs the calls will be returned on the same day as soon as possible. We do not provide prescription refills after hours or on holidays or weekends. We do not address medical concerns, mental health ONLY, please call PCP, urgent care, walk in medical clinics, or emergency clinics.

Emergencies

If you are experiencing a life-threatening emergency or symptoms reasonably attributed to a serious condition, call 911 or go immediately to the nearest emergency room. The Crisis Hotline is also available , clinic the link in the bottom left hand corner to connect with the Crisis Hotline. If there are no life threatening emergencies, patients will be contacted and treated as soon as possible by a member of the mental health staff. We do not address medical concerns, mental health ONLY, please call PCP, urgent care, walk in medical clinics, or emergency clinics.

Prescription Refills

Please call your pharmacy a few days before your prescription is due to run out or expire. If you have refills remaining on your current prescription, the pharmacy will fill it with no direction for staff. If you do not have refills remaining on the current prescription, the pharmacy will contact our office for the request to fill the prescription. The appropriate refill will be approved or we will call you to discuss the refill or the necessity for an appointment. If your prescription requires prior approval (PA) , or if you need a written prescription to take to the pharmacy or if a prescription needs to be mailed to a mail order pharmacy please call the pharmacy 10 to 14 days before your current supply of medicine runs out, most medications can be sent using e-scribe or fax so there will be no interruptions in your medications or treatment plan. We do not provide prescription refills after hours or on holidays or weekends. We do not address medical prescriptions or medications from other providers, mental health ONLY, please call PCP, urgent care, walk in medical clinics, or emergency clinics for medical prescriptions.

Please realize: ALL controlled medications, as well as routine maintenance medications, will not be refilled by the on-call physician after hours or on holidays or weekends. Please call during regular office hours for refills for these medications.

Referrals

Insurance companies often require referrals from primary care physicians to Mental Health specialists for Behavioral and Psychiatric care and counseling services. Referrals often take time to process when received from other health care providers or if we send referrals on your behalf to other health care team members, please contact us as soon as possible so we can make sure your paperwork for approval is completed at the time of your visit.

Financial Arrangements

We will bill your medical insurance plan if you are insured, and we accept most major insurance plans. We do not determine the amount of payment you are responsible for at the time of your office or telehealth visit, the cost you are responsible for is determined by your individualized plan. All deductibles and co-pays are expected and should be paid at the time of your visit, this practice with allow us to keep your cost down to better serve your mental health needs.

It is requested that you present your insurance card at each visit when signing in for your visit. We will make a copy of the insurance card for our records. Also, please notify us if your insurance coverage or personal address or phone numbers have changed since your last visit.  This will allow us to make sure you are receiving your maximum mental health benefits from your insurance and will allow you to be reimbursed correctly.

Patients who do not have health insurance are expected to pay at the time of their visit. We also take privacy protected online payments through the website and patient portal.  Payment plans may be pre-arranged based on individual mental health needs. Please discuss the need for a payment plan with the receptionist when you schedule your appointment, prior to your visit as payment plans must be pre-approved prior to the visit by management.
